Terms & Conditions

These Terms & Conditions govern all services provided by CertificatesRSA (“we”, “us”, “our”). By placing an order and making payment, you agree to the terms set out below.


1. Nature of Our Services

We provide document procurement, application facilitation, submissions, follow-ups, and administrative services relating to South African and foreign government institutions, including but not limited to:

  • Department of Home Affairs (DHA)
  • DIRCO
  • Embassies and consulates
  • Foreign civil registries

We are not a government department and have no control over their processing times, decisions, systems, or record availability.


2. Government-Dependent Processing & Delays

By submitting an application, you acknowledge that:

  • All timelines are estimates only and not guaranteed
  • Delays may occur due to:
    • Backlogs
    • Missing or untraceable registers
    • System outages
    • Additional document requests
    • Internal government processes

Such delays are outside of our control and do not constitute non-delivery, failure to render services, or breach of contract.


3. Missing, Incomplete, or Untraceable Records

In some cases, government authorities may be unable to locate a birth, marriage, or death register.

Where this occurs:

  • Additional documentation may be requested
  • You will be informed and given the option to proceed or withdraw
  • If you choose to proceed, the service is considered active and rendered

The inability of a government authority to locate or issue a record does not entitle the client to a full refund.


4. Client Responsibilities

You agree to:

  • Provide accurate and complete information
  • Respond timeously to requests for documents or clarification
  • Understand that delayed responses may extend processing times

Delays caused or contributed to by client non-responsiveness are not considered non-delivery.


5. Fees & Payments

  • All fees are quoted in South African Rand (ZAR) unless stated otherwise
  • Payment confirms acceptance of these Terms & Conditions
  • Fees cover administrative work, submissions, follow-ups, and liaison with authorities

Government fees and third-party charges are non-refundable once incurred.


6. Refund Policy

  • Once a service has commenced, no full refunds will be issued
  • Any approved refund is subject to a 50% non-refundable administrative and processing fee
  • Refunds are assessed on a case-by-case basis at our discretion

Delays caused by government departments do not qualify for a full refund.


7. Chargebacks & Payment Disputes

By making payment, you agree that:

  • Initiating a chargeback for a service already rendered or in progress is not permitted
  • Chargebacks based on “non-delivery” are invalid for government-dependent services
  • We reserve the right to submit all correspondence, timelines, submissions, and policies to dispute any chargeback
  • Any costs incurred in defending a chargeback may be recovered where legally permissible

8. Communication

All official communication is conducted via email and/or WhatsApp.
It is the client’s responsibility to ensure contact details are correct and monitored.


9. Limitation of Liability

We are not liable for:

  • Delays or decisions made by government authorities
  • Lost, incomplete, or unavailable government records
  • Consequential or indirect losses arising from delays beyond our control

Our liability is limited to the value of the service fee paid.


10. Acceptance of Terms

By making payment, you confirm that you:

  • Have read and understood these Terms & Conditions
  • Accept the nature of government-dependent services
  • Agree to the refund and chargeback policy

Please note that from time to time the CRC and HA experiences backlogs and turnaround times listed on our website cannot be guaranteed. Loadshedding is putting a lot of pressure on the system and affecting applications and turnaround times. Kindly take this into consideration when making travelling plans or have deadlines.
